HubSpot
Connect your HubSpot CRM and the person behind a conversation comes with it:
- The HubSpot record on the contact card — name, phone numbers, e-mail, lifecycle stage and the company the contact belongs to, with a button that opens the record in HubSpot.
- Deals — a Deals tab on the card lists the person's deals with their stage, amount and close date. Wiz can answer "where is my offer?" from them, but only to a customer whose channel proves who they are (see below).
- Activity sync (paid plans, off until you switch it on) — conversations and calls are written to the person's HubSpot timeline: WhatsApp and SMS threads as communications, calls as calls, everything else as a note.
- Open a deal, or move one to another stage, from the contact card or a flow step.
HubSpot is connected as a CRM, not as a channel: nothing from HubSpot arrives in the Inbox. If you also use another CRM, the contact card shows a separate HubSpot section next to it.
Before you start
HubSpot connections go through one public app that ConnectWiz registers with HubSpot. Until it is registered, HubSpot is listed under Settings → Integrations with a Coming soon badge and cannot be connected. It opens by itself as soon as the app is live.
HubSpot's own screens are not available in Turkish; the connection works with any HubSpot account language.
How the app is installed
- Sign in to HubSpot as a user who may install apps in the account (a Super Admin).
- In ConnectWiz, go to Settings → Integrations → HubSpot and press Connect with HubSpot. Choose the account to connect.
- Review the permissions HubSpot shows and approve the connection. You come back to ConnectWiz by yourself; your password never reaches ConnectWiz.
- Link people on the contact card (see below), then decide what ConnectWiz may write — every write has its own switch and all of them start off.
ConnectWiz asks only for what it uses: contacts (read and write), companies (read) and deals (read and write). One HubSpot account connects to one ConnectWiz workspace; an account already connected elsewhere is refused.
After connecting, the page shows the HubSpot account number, its Account
address (EU-hosted accounts live on app-eu1.hubspot.com), its Account
currency and the Last update from HubSpot. Disconnect removes the app
from your HubSpot account; links between contacts and HubSpot records are kept,
so connecting the same account again picks them up.
Matching customers
Nobody is linked automatically. When a contact is not linked yet, the card
searches HubSpot by the number the person writes from (in every spelling it may
be stored in — with or without +90, with or without the leading 0) and by
e-mail, and suggests the record. An agent confirms it with Yes, this is them.
When a contact changes in HubSpot, HubSpot tells ConnectWiz and the card reads it again the next time somebody opens it.
Deals
The Deals tab lists the person's deals, newest first, with the pipeline and stage, the amount (in the deal's own currency) and the close date. A deal without an amount shows no amount — never zero.
Who keeps deals is your decision, under Who keeps what on the HubSpot settings page:
- Not decided or Here — deals live in ConnectWiz's own pipeline, as before. Nothing is written to HubSpot.
- Their system — deals live in HubSpot. Then, with the Deals switch on under Writing into the CRM, an agent can press New deal on the Deals tab (name, amount, currency, stage — empty currency means the account's own, empty stage means the pipeline's first stage), and Change stage on a deal. A deal can only be moved within its own pipeline, and only a deal that belongs to this person.
Both is not offered for deals: two pipelines for one person are two truths about where a sale stands.
Wiz reads deals but never opens or moves one. A deal's amount counts as financial information, so Wiz only mentions it to a customer whose channel proves the identifier on their record — the WhatsApp or SMS number, or the e-mail address — and never on Instagram, Messenger or an anonymous web chat.
Activity sync
Activity sync and writing deals into HubSpot are part of the paid plans. Reading HubSpot — the card, matching, Wiz — works on every plan.
Under Activity sync on the HubSpot settings page:
- Read Cross-border transfer of personal data. HubSpot's servers are outside Türkiye; switching activity sync on transfers your customers' conversation data to your own HubSpot account abroad, on your instruction. You are the data controller, and the legal basis for the transfer (for example a standard contract notified to the KVKK Authority) is yours to establish.
- Tick the box to confirm. ConnectWiz records who accepted, when and which wording.
- Switch on Write activities to this CRM.
- Choose What a conversation becomes: A short transcript (the default) or An AI summary (uses AI credits; if a summary cannot be made, the transcript is written instead).
What is written — for each conversation once it is archived or has been quiet for 30 minutes, and for each finished call:
| ConnectWiz | In HubSpot |
|---|---|
| WhatsApp, SMS and LinkedIn conversations | a communication of that channel type |
| Instagram, Messenger, Telegram, web chat, e-mail and other channels | a note naming the channel |
| An AI summary | a note |
| A call (WhatsApp, Messenger, phone, your PBX) | a call — direction, duration, outcome |
Every activity carries the channel, direction, time, the agent's name and a link back to the conversation in ConnectWiz (the link asks for a ConnectWiz sign-in).
What is never written: attachments (they are named, not sent), call recordings (the link to the call in ConnectWiz goes instead), balances read from another system, and identity, tax, card or bank numbers — they are struck out even if the customer typed them.
Only people linked to a HubSpot record are written; the card shows how many conversations the last run skipped because nobody was linked. Nothing from before you switched activity sync on is ever sent. A conversation that carries on after it was written gets a second activity for what came after — the same messages are never written twice.
The card counts what was Written, what is Waiting, what HubSpot Refused and what Failed, and lists the most recent ones. If writing into the CRM is set to rehearse under Writing into the CRM, nothing is sent until it is set to send for real.
In flows
A flow's CRM step can, with HubSpot connected:
- read Their deals;
- Log this conversation — writes the text you set to the person's timeline (needs activity sync switched on);
- Open a deal —
name,amount,currency,stage_idfrom the payload; - Move a deal —
deal_kind,deal_id,stage_id.
See Flows for how the CRM step works.
